Job Description
Summary
The Lead Coordinator, Program Management is a member of the Office of the Registrar and reports directly to the Director Academic Services & Registrar as part of the Registrar's Office team. This position serves as the primary School of Medicine liaison and central point of contact for academic services and registration-related matters, representing the Office of the Registrar in meetings and communications with deans, department leadership, committees, and key stakeholders.
This position offers the flexibility of a hybrid work schedule.
Job Duties
- Serves as the primary School of Medicine liaison and central point of contact for academic services and registration-related matters, representing the Office of the Registrar in meetings and communications with deans, department leadership, committees, and key stakeholders.
- Serves as the Registrar’s Office subject matter expert on academic policies, procedures, registration, grading, and records management, providing guidance to faculty, staff, and department coordinators while ensuring compliance with institutional and regulatory requirements.
- Coordinates and support administrative operations for expanded academic programs, ensuring timely and effective response to stakeholder needs.
- Oversees elective registration processes, including lottery configuration, add/drop transactions, away rotation registration, and manual enrollment activities, ensuring timely and accurate processing. Serve as operational backup during peak registration periods and staffing shortages to maintain continuity of services.
- Supports the Director through preparation of reports, presentations, training materials, and other departmental resources.
- Manages reporting requests for the Office of the Registrar, including data analysis and report preparation.
- Leads process improvement initiatives and develop solutions to operational challenges across schools and programs, ensuring efficient and effective Registrar’s Office practices.
- Manages and track Registrar’s Office projects, timelines, and deliverables, coordinating with internal and external stakeholders to ensure timely completion of responsibilities and project goals.
- Leads, trains, and delegates work to the electives team, providing guidance and operational support to ensure effective management of BCM electives, visiting electives, and evolving curriculum processes within the School of Medicine.
- Develops, manages, and oversees communications to students, faculty, and staff regarding Registrar’s Office processes, deadlines, policies, and academic services, ensuring timely and consistent messaging.
- Oversees communications and registration-related notifications distributed by the electives team to BCM and visiting students, ensuring accuracy and alignment with registration schedules and processes.
- Oversees student records processes, including student tracking, curriculum updates, and maintenance of data within the student information system.
- Monitors and support degree audit processes for graduating School of Medicine students.
- Serves as backup for grade and evaluation processing, ensuring timely entry of grades into the student information system during high-volume periods and staffing shortages.
- Tracks and maintains updates to the elective’s web catalog on the public website.
- Serves as a backup for the call for availability each semester for registration set up.
- Performs other job-related duties as assigned.
Minimum Qualifications
- Bachelor's degree; four years of relevant work experience accepted in lieu of degree.
- Two years of relevant experience.
Preferred Qualifications
- Masters Degree preferred.
- Prior higher education experience preferred.
