Job Function:
Facilitate the advising and coordination of post-baccalaureate students, administrators, and school service personnel; support the work of the License Advisor and Executive Director to facilitate the licensing of all individuals who do their preparation or professional development at Ball State.
Minimum Education:
Associate's degree or an additional two years of related experience will be accepted in lieu of an associate's degree.
Minimum Experience:
One through three years of related experience.
Preferred Experience:
Knowledge of database and word processing software; supervisory experience; experience working in higher education administration; familiarity with Indiana educational licensing.
Duties and Responsibilities:
- Screen, evaluate, provide information, and advise alumni, students, faculty, administrators, state officials, and others regarding Indiana and Ball State University post-baccalaureate programs, licensing policies and procedures, educational program requirements, student teaching, student observations, and participation for students.
- Actively pursue, recruit, and inform potential post-bac students about Ball State post-bac programs, licensing policies and procedures, and educational program requirements.
- Verify, complete, and code all license applications for transition to teaching (T2T) candidates.
- Maintain evaluation request system; process requests for evaluation of license requirements; evaluate the transcript of current and previous Ball State students; collect evaluation fees; send evaluations to students and Ball State advisors; update evaluations to reflect courses taken and substitutions made by advisors; maintain a record of evaluations; provide statistics for annual report based on evaluation records.
- Routinely meet with Executive Director, and other appropriate department/office personnel, to set goals for contact, follow up and review of prospective, previous, and current post-bac students. This includes working with appropriate staff to develop digital and paper methods to market and recruit students into post-bac programs.
- Maintain and digitize file system for evaluations, licensure and tests, including post-bac students and programs.
- Serve as a backup to the licensing advisor, capable of completing all license processing and elements as needed.
- Serve as advisor to faculty regarding post-bac licensing programs and test requirements, maintaining program sheets against academic postings, Indiana Department of Education changes, and testing updates.
- Verify and code student files for graduate licensure for use by Registrar, Admissions, and Graduate School.
- Co-facilitate, engage, and create licensing presentations for all candidates such as student teachers and transition to teaching candidates.
- Maintain evaluation fee budget; process reimbursements; make deposits.
- Actively hold designated office appointment hours and online office appointment hours to advise post-bac students and maintain weekly digital record and log all information pertaining to communication, correspondence, and appointments with prospective candidates.
- Perform other related duties as assigned.
- Maintain regular and predictable attendance.
