Job Description

Summary

The Senior Program Management Associate will provide administrative and programmatic oversight to the Office of Student Affairs and serve as the primary point of contact for the BCM Temple Campus. The Senior Program Management Associate will be responsible for the coordination of events, programs, opportunities, and services to assist the students with successful transition from undergraduate school to medical school and medical school to postgraduate training. A successful candidate will have the ability to maintain positive working relationships with faculty, students, peers, and learners. Must be a self-motivated, self-initiator who is organized, detail oriented, and able to multitask. In addition, they will demonstrate excellent networking, relationships, and conversational skills.

This position will work primarily in Temple, Texas with some occasional travel to Houston, Texas. This position is eligible for hybrid work after the completion of a review period.  Office hours at Monday - Friday 8 a.m. - 5 p.m. with occasional nights and weekends.

Job Duties

Administrative

  • Functions as the primary Student Affairs liaison to other administrative areas at BCM Temple and supports department representation at the Houston campus as needed. Oversees the daily operations of the Student Affairs Temple campus office.
  • Provides support to Senior Manager and Deans with the coordination of the NBME-USMLE process, scholarship processes, student study aid needs, and other centralized processes.
  • Partners with Senior Manager and Deans with all Medical Degree Promotions Committee (MDPC) administrative logistics. Serves as back-up in the absence of the Senior Manager.
  • Partners with the Senior Coordinator, Business Operations on purchasing expenditures, report funding balances and needs, and maintain compliance.
  • Partners with Senior Academic Services Associate on Blackboard and other Ed Tech updates for assigned programs/services. Coordinates all communications for the Student Affairs Temple campus and align communications using approved email and social media schedules.
  • Partners with Senior Academic Services Associate on maintaining a web presence for the department to include webpage design and updates.
  • Builds and maintains reports as needed to comply with accreditation and regulations for Temple and Houston campuses.
  • Maintains a thorough working knowledge of student policies and procedures.

Programming/Advising

  • Responsible for the planning and delivering of Temple campus events, services, programs, and opportunities. Coordinates planning and execution of events with Senior Manager to ensure programs align with Student Affairs mission. Collaborates with Senior Manager on advising campus student leaders. Supports Houston campus programming as needed.
  • Responsible for the organization, planning and execution of New Student Orientation and Retreat for the Temple campus and provides support to Houston campus programming as needed for program cohesion.
  • Responsible for the coordination of the White Coat Ceremony, Family Day, and Match Day Ceremony programming for the BCM Temple Campus. Supports programming efforts with the Houston campus as needed to ensure program cohesion.
  • Assists the Senior Manager and Deans with managing all related Residency Application Processes to include but not limited to CAMs, MSPE, Electronic Residency Application Service (ERAS), NRMP, and other submission and matching platforms.

Assessment

  • Responsible for assessing the success of assigned programs and services and maintain results for reporting. Partner with Senior Manager on data collection for annual reporting to ensure program/learning outcomes align with unit priorities.
  • Uses assessment data collected to recommend changes to program/service design and methods.

Office Support

  • Provides administrative and logistical presence at all Student Affairs-Temple events (Orientation, Retreat, Family Day, White Coat Ceremony, Match Day, etc.). Support Houston events as needed.
  • Assigns and facilitates training for cross coverage among Temple staff and serves as cross coverage for Senior Manager.

Minimum Qualifications

  • Bachelor's degree.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's degree in Education or related field.
  • Master's degree in a related field (e.g. Education, Business, Healthcare Administration) and two years of relevant experience will also be considered.
  • Demonstrated experience working in a college or university setting.
  • Demonstrated experience with process improvement.
  • Demonstrated experience working with student groups/organizations.
  • Experience working at a medical school.
