Summary

Baylor College of Medicine-Houston, Department of Pediatrics, is seeking a full-time Senior Coordinator Program Management to serve as a key team member in the pediatric residency office. The Pediatric Residency Program is one of the largest in the country, which includes three umbrella programs. The Senior Coordinator will assist with the day-to-day operations of a large residency program. This position coordinates and provides oversight in trainee recruitment, trainee onboarding/orientation, and trainee graduation. Additionally, the position monitors compliance of all evaluations, online training modules, duty hours, supplemental payments, management of program letters of agreements, and all College mandates. This person should be a self-starter and have knowledge of ACGME/GME guidelines.

This position does require occasional travel and weekend retreats as needed.

Job Duties

  • Assists with day-to-day operations of one of the largest pediatric residency programs in the country.
  • Oversees onboarding and graduation of residents, research symposium, and performs day-to-day problem solving for residents and chief residents.
  • Interviews between 350 - 400 candidates during the recruitment season.
  • Monitors and updates program letters of agreements.
  • Monitors and maintain all systems in Medhub, prep for Semi Annuals and Milestones.
  • Communicates with all departments to prep for onboarding and ensure every Intern is trained and have fulfilled all of the requirements of the GME department.
  • Orders departmental supplies, pay bills/dues via SAP, reimburse residents via CONCUR.
  • Updates all annual requirements for ACGME/GME/Pedi-a-Link, etc.
  • Mail pick-up and distribution.
  • Completes all requested forms for Residents, i.e. verifications, loan documents, etc.
  • Monitors and assists Faculty with all assigned tasks.
  • Assists with graduating residents, ordering diplomas, prepping for graduation and all task associated.
  • May be assigned to take minutes for meetings.
  • Completes PO request, and complete and monitor supply orders.
  • Assists and monitor residents during ITE exams.
  • Assists Program Manager, Program Director, APD's and Chief's as requested.
  • Performs other duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Above average Microsoft skills, Concur, MedHub experience.
  • Experience with Zoom and Microsoft TEAMS.
  • Flexible and willing to learn new programs.
  • Must be able to work independently on projects.
  • Self-starter with excellent problem-solving skills and a team player.
  • Good communication skills both verbally and written.
  • Adaptable to change.
  • Adaptable to different work schedules and hours.
  • Have the necessary equipment to work from home if necessary.
  • Have a concept or be able to maintain a budget.
