Job Description

What Your Job Will Be Like:

We are seeking a Year Round - Clerical Union Undergraduate Intern to join our dynamic team!

On any given day, you may be called on to:

  • Perform secretarial and clerical work for the organization OAA's, managers and staff.
  • Provide clerical support and maintain presence in a Sandia Labs facility off Kirtland Air Force Base in Albuquerque, NM primarily during the summer months when interns are working there.
  • Prepare a variety of documents, including correspondence, reports, graphs, charts, etc. Originates routine correspondence, edits, and formats documents, and assists in processing paperwork in accordance with SNL policies and procedures.
  • Set up file systems for all documents and maintains all programmatic and administrative records and files. Follow all procedures for the filing and maintenance of classified or sensitive documents and records. Set up databases, enters and maintains data and responds to requests for information.
  • Assist with domestic and foreign travel arrangements for the manager and staff.
  • Coordinate and schedule all meetings.
  • Handle telephone communications and receives visitors; ascertains nature of calls or visits; takes messages or schedules appointments; responds to routine questions or refers individuals to appropriate sources of information; and serves as an information resource to the manager and staff.
  • Triage interns' questions and concerns and channel them to the appropriate person (OAA (most likely), manager (likely), or another professional in Environment, Safety and Health (ES&H), Security, Payroll, etc.)
  • Learn from experienced OAAs and the manager, and help them be more productive in their work, especially for the interns.
  • Answer new interns' questions on routine processes such as onboarding/badging; new employee orientation, internet, and intranet access; ES&H or safety procedures; payroll and time sheets; training; meeting schedule and location; security escorting for meetings in a tech area; ordering computer peripherals, etc.)
  • On rare occasions, help an intern with incidentals as handling Controlled Unclassified (CUI) information.
  • Keep a professional and cordial atmosphere conducive to high morale and productivity.

As a condition of employment, the selected candidate will be represented by the Office and Professional Employees International Union (OPEIU), which requires monthly membership dues or agency fees. New hires into an OPEIU represented position will remain in the initial position for twelve (12) months before being eligible to be considered for other Sandia employment.

Onsite work: Due to the nature of the work, the selected applicant must be able to work onsite 100% of the time.

Qualifications We Require:

You bring the confidence and skills to be eligible for the job by meeting these minimum requirements:

  • Currently attending and enrolled full time in an accredited undergraduate program
  • Minimum cumulative GPA of 2.5/4.0
  • Ability to work up to 25 hours per week during the academic year, and up to 40 hours per week during the summer
  • U.S. citizenship

This successful candidate must be self-directed and able to prioritize work based on general guidance and situational awareness of the tasks at hand.

About Our Team:

You will work closely with a team of experienced Office Administrative Assistants (OAAs); managers, a few technical staff members; and professionals in ES&H and security; and other interns.

Every summer, AutonomyNM Intern Institute hosts at least 40 interns from around the nation in a building called Buena Vista Facility off Kirtland Air Force Base. The interns work full-time under supervision by Sandia Labs staff members who work in Sandia tech areas on Kirtland. The supervisors give technical instructions and answer technical questions, but do not see their interns in person daily. Each intern works autonomously from her/his supervisor and interacts daily with other interns in the Buena Vista Facility. The intern institute is managed by a Sandia manager who works on Kirtland and visits Buena Vista a few times per week.

You will maintain almost-constant presence at Buena Vista and serve as the hub of day-to-day communication with the manager and OAAs. Interns will have questions, usually on routine processes (onboarding/badging; new employee orientation, internet and intranet access; ES&H or safety procedures; payroll and time sheets; training; meeting schedule and location; security escorting for meetings in a tech area; ordering computer peripherals, etc) and occasionally on rare incidents such as handling Controlled Unclassified (CUI) information or responding to an instruction to take a random drug test, or, very unlikely, a medical or safety emergency. You will triage interns' questions and concerns and channel them to the appropriate person, most likely the departmental OAA or Manager; or another professional in ES&H, Security, Payroll, etc.

Security Clearance:
