At the University of Oklahoma, the Payroll Account Clerk is a front desk employee and the first line of contact with walk-in traffic and phone calls to the Payroll Office. Exceptional customer service is a requirement of the position, including a friendly, helpful attitude. With training, this person must be able to answer routine questions from employees, and/or transfer the employee to the appropriate payroll staff who can help. Must have the ability to learn, retain, and apply personnel policies and payroll administration procedures, as well as the ability to problem solve. Communication with campus users/departments is a large part of the job, and this person must have the ability to effectively communicate with users via email, phone, or in person.  

The position will report to the Payroll Director and will also receive direction from other payroll staff. The position will interact frequently with Human Resources, Provost office, Colleges, Budget & Financial Planning, and other academic and non-academic units.

Primary Duties and Responsibilities:

  • Maintain the Payroll Inbox and delegate emails to Payroll Techs
  • Receive, timestamp and sort incoming mail daily
  • Manage phone calls and answer questions, as well as transfer the calls to the appropriate campus departments/payroll staff
  • Assist campus employees with questions regarding their paystubs, W4s, and W2s, including providing information regarding the mytaxform.com website.
  • Help employees reissue missing paychecks by gathering necessary information
  • Maintain the Payroll website
  • Keep records of garnishment, unemployment, and withholding checks
  • Mail out final paystubs to terminated employees
  • Create documents and graphics with information about payroll and processes
  • Perform other duties as assigned
 

Job Requirements

Required Education: GED/High School Grad AND:

  • 12 months experience in office, clerical, or administrative support

Skills:

  • Strong work ethic to ensure the team meets applicable deadlines
  • Very high attention to detail and strong organization skills, with a focus on accuracy and timeliness
  • Advanced Excel skills, including the ability to build and manipulate spreadsheets
  • Ability to communicate effectively, using email, phone, or in person methods
  • Ability to build rapport quickly with students, faculty, and staff
  • Questioning mindset that looks to learn and improve on the way things have been done

Certifications:

  • None

Advertised Physical Requirements:

  • Must be able to engage in repetitive motions including movements of the hands, wrists, or fingers, and communicate effectively.

Departmental Preferences:

  • Working knowledge of Peoplesoft preferred
  • Ability to speak, read and write clear, concise English
  • Proficient in Microsoft Office
  • Strong initiative to solve problems
  • Ability to interpret University policy and State rules/regulations
