Job Description

Job Summary/Essential Job Functions: Under the direction of assigned supervisor, this position provides day-to-day administrative direction and clerical support operations within Obstetrics & Gynecology (OB/GYN). Assists with maintaining schedules/calendars, arranges meeting, processes travel, helps prepare PowerPoint Presentation for the Chair and assistant with the Maternal-Fetal Medicine (MFM) Fellowship Program while delivering excellent, professional services to faculty, staff, and all UT entities.



DUTIES AND RESPONSIBILITIES:

Serves as administrative support to the Department Chair, faculty, staff, and students.
Assists with maintaining calendars and scheduling meetings for the Department Chair, Vice Chair, and faculty.
Arranges, schedules, and coordinates meetings, conferences, and events for faculty and other entities locally, nationally, and internationally.
Prepares travel requests, travel authorizations, and travel arrangements for the Chair, Vice Chair, faculty, and guests.
Examines, updates, and maintains faculty database information.
Schedules faculty evaluations and determines faculty eligibility for promotion and retention, and compiles data packets for committee review.
Coordinates faculty recruitment activities: search, evaluation, selection, and hiring of new faculty.
Evaluates hiring packets for accuracy and completion. Submit packets to committee members for review. Contacts candidates for interviews and arrange visits.
Prepare and submit guest travel reimbursements. Coordinates travel arranges. Organizes and prepares agenda for candidate visits to multiple departments, hospitals, and entities.
Maintains leave requests and time sheets for faculty.
Assists with pre and post award activities.
Performs other related duties as assigned.


MINIMUM REQUIREMENTS:



EDUCATION: High School Diploma or GED. (TRANSCRIPT AND/OR CERTIFICATION REQUIRED)



EXPERIENCE: Four (4) years of administrative/clerical experience; OR Associate Degree and two (2) years of work-related experience; OR Bachelor's Degree and one (1) year of work-related experience. (Experience in a higher education environment preferred).



KNOWLEDGE, SKILLS, AND ABILITIES:

Ability to be self-motivated, detail-oriented, and highly organized.
Knowledge of and experience using on-line databases and other resources.
Ability to complete all types of forms designed by UT for the purpose of Finance and Payroll.
Excellent interpersonal skills, flexibility, and ability to work well with all levels of personnel, outside clients, and vendors.
Excellent written and communication, editing, and organizational skills.
Skill and experience with Filemaker Pro, Excel, Word, and PowerPoint.
Knowledge of UT policy and procedures is necessary.
Ability to prepare and edit communication plans.
Ability to organize book chapters and curriculum vitae.
