Ball State University Information Technology is seeking a CRM System Administrator. In this role you will be responsible for the daily maintenance of the campus CRM in addition to interacting with areas across campus as we deploy the institutional CRM. You will have the opportunity to work on the campus CRM at the ground level providing input on institutional decisions while helping to guide the campus to a full institutional deployment. Job Function:

Minimum Education:

1. Bachelor’s degree from an accredited college or university by date of appointment.
Or, in lieu of Bachelor’s degree:
2. Associate’s degree plus an additional combination of education or experience in IT equivalent to two years.
Or
3. High school diploma or GED plus an additional combination of education or experience in IT equivalent to four years.

Preferred Education:

Bachelor’s or master’s degree in a technology or business-related program.

Minimum Experience:

At least two years of professional IT experience including two years of project management experience, experience as system administrator for an enterprise solution; demonstrated experience working with third-party vendors to determine product and services technical compatibilities. At least two years of customer service and training experience.

Preferred Experience:

Five years of experience working in an IT environment at a higher educational institution. Five years of CRM experience. Two years of project management and Ellucian Banner ERP experience and knowledge. Demonstrated CRM experience in addition to CRM certifications. Strong understanding of the CRM platforms, with the ability to build custom apps and objects, formula fields, processes, custom views, and other content of intermediate complexity preferred. Experience with deploying Organizations within the CRM environment.

Duties and Responsibilities:

  • Serve as the university CRM system owner and administrator as designated by IT leadership.

  • Handle administrative CRM functions including user maintenance, modification of page layouts, generation of reports and dashboards, creation of new fields and other routine tasks. Assist in the maintenance of Ball State’s single sign-on solution and automatic user management and role-based provisioning. Implement appropriate security management, security hierarchies, and appropriate application roles. Gather detailed requests for improvements or changes to the system, and implement these changes as appropriate.
  • Automate processes integrating the campus CRM with other enterprise systems. Leverage delivered integration tools and 3rd party applications to generate a fully functional and operational institutional solution.

  • Complete data analysis and summarize conclusions and recommendations into published reports; Serve as an integral part of University communications as they relate to loading and sending email campaigns, SMS messaging, etc., and monitoring their success.
  • Develop, plan, coordinate, and communicate upgrades, releases, and long-term projects. Coordinate CRM upgrades with campus community members, Information Technology, and the vendor. Work with the vendor to deploy the non-production organization prior to full production deployment. Utilize Ball State’s change management system to document changes and seek approval prior to deployment.

  • Help identify, install, and, maintain appropriate apps from 3rd parties for event management, mass email, and additional services as required by the institution.
  • Train new users and grow the CRM skill set across the organization. Create training materials and support documents.
  • Perform other related duties as assigned.
